Provisional Mentorship Program

The Provisional Mentorship Program is a key component of quality assurance of the College of Audiologists and Speech-Language Pathologists of Manitoba. By meeting the requirements of the Provisional Mentorship Program, (completing a Self-Assessment Survey, identifying Learning Targets, and completing a Learning Plan), a Provisional Regulated Registrant initiates the first steps of the ongoing obligations to the Continuing Competency Program of the College. These initial steps become part of the current three-year cycle in the Continuing Competency Program. The Continuing Competency Program promotes self-awareness through self-assessment of current practice issues, informs ongoing learning, and contributes to continued quality assurance and improvement in practice across one’s career.

During the Provisional Mentorship Program, the role of the Mentor is to provide the Provisional Regulated Registrant with guidance and support in the process of self-reflection, to assist in professional growth and skill development, and to assure the development of a firm foundation for independent professional practice.

The mentoring assessment process is consistent with quality assurance across the career and sets the stage for career-long learning.

 

MENTORSHIP

The mentorship process facilitates in-depth reflection on issues affecting practice, developing both personal and professional knowledge, skill, and judgment.

As part of the documentation provided to the Deputy Registrar upon initial application for Provisional Regulated registration with the College, the applicant must secure a mentor and submit a Provisional Mentorship Agreement. The Deputy Registrar will notify the applicant whether their mentor has been approved, as well as indicate the status of the application for registration.

Once an individual has been granted registration with the College and a Certificate of Practice, the Mentorship Program begins. The process and documentation submissions required throughout the course of the Mentorship Period are listed below.

By completing the Self-Assessment Survey with the support and guidance of the Mentor, the Provisional Regulated Registrant will enhance awareness of the various competencies which are essential to practice. By engaging in mentorship activities, the registrant will have opportunity to demonstrate competence in various areas across the competency profile. The mentorship experience is intended as respectful, positive interactions and exchange, with mutual open feedback between the Provisional Regulated Registrant and the Mentor.

 

THE MENTORSHIP PERIOD

    • Minimum 50 hours of mentorship activities distributed evenly throughout a 6-month period.
    • May extend to 12 months. Formal application for extension is required to extend the mentorship period past 12 months.
    • Minimum 25 hours observation of the Provisional Regulated Registrant by the Mentor in clinical practice activities. Observation may occur in person, by web conferencing, or review of recorded sessions.

 

WHO MAY ACT AS MENTOR

An individual may act as a mentor if they are a Full Regulated Registrant of the College who:

  1. is of the same health profession as the Provisional Regulated Registrant,
  2. has been a Full Regulated Registrant of the College for at least one year,
  3. holds a valid Certificate of Practice for the entire mentorship period, and
  4. has been approved by the Deputy Registrar.

 

MENTORSHIP ACTIVITIES

Observation of Direct Client Care

Opportunities for the Mentor to observe and provide feedback to the Provisional Regulated Registrant while engaged in direct client care:

    • Assessment
    • Intervention Planning
    • Intervention and (Re)Habilitation
    • Counselling and consulting with client, client caregivers, or others directly associated with the client.
    • Client management activities: discharge, referral, follow-up, report writing, case conferences.

This may be achieved through direct observation of the Provisional Regulated Registrant while engaged in direct client care, web conferencing, and review of recorded sessions.

When a Mentor observes the Provisional Regulated Registrant providing direct client care, it is the responsibility of the Provisional Regulated Registrant to introduce the Mentor to the client and caregivers, and others directly associated with the client in the practice setting. The role of a mentor should be explained.

Example: “Speech-Language Pathology/Audiology is a regulated health profession in the province of Manitoba. As part of the entry-to-practice quality assurance program, an experienced colleague observes my practice. This is ____________. They are a Speech-Language Pathologist/an Audiologist and with your permission, they will observe our session today.”

 

 Conferencing and Communications

Opportunities for the Provisional Regulated Registrant and the Mentor to share discussions, review written reports, and exchange information regarding all aspects of practice including, but not limited to:

    • Direct client care
    • Client management
    • Written reports
    • Administrative management

This may be achieved in face-to-face meetings, telephone communications, web conferencing, written communications.

 

RESPONSIBILITIES OF THE PROVISIONAL REGULATED REGISTRANT

    • Prepare for each mentorship activity.
    • Introduce the Mentor to clients when the Mentor is observing the Provisional Regulated Registrant providing direct client care.
    • Supply necessary documents to be completed in conjunction with the Mentor.
    • Submit the required documents to the CASLPM Office.

 

RESPONSIBILITIES OF THE MENTOR

  • Offer guidance, support, and insight to enable the Provisional Regulated Registrant to reflect on issues affecting practice.
  • Provide supportive challenge to promote growth and development of the Provisional Regulated Registrant.
  • In conjunction with the Provisional Regulated Registrant, complete the necessary documentation and reports.

 

MENTORSHIP PROCESS: DOCUMENTS AND REPORTS REQUIRED

All documentation and reports are to be completed by the Provisional Regulated Registrant, in conjunction with the Mentor.

  1. Provisional Mentorship Agreement

WHEN: At the time of Initial Application for registration with the College.

PROCESS:

  1. Secure a Mentor.
  2. Complete a Provisional Mentorship Agreement and submit to the Deputy Registrar.

A Provisional Mentorship Agreement is part of the documentation required at the time an individual applies for initial registration with the College.

Registration and a Certificate of Practice will not be granted until a Provisional Mentorship Agreement has been received and approved by the Deputy Registrar.

  1. Learning Plan

WHEN: Within thirty (30) days of being granted a Certificate of Practice.

PROCESS:

  1. Review Standards of Practice, Competency Profiles, Practice Directions
  2. Complete a Self-Assessment Survey
    1. Rate Competency
    2. Identify Learning Targets
    • Develop a Learning Plan
      1. Transfer Learning Targets from Self-Assessment Survey
      2. Begin the “Learning Process” Chart
      3. Develop Measurement Criteria
  1. In your personal record, keep copies of:
    1. Self-Assessment Survey
    2. Learning Plan
  2. Submit a Learning Plan to the Deputy Registrar within thirty (30) days of Certificate of Practice being granted.
  3. Interim Report

WHEN: At the midpoint of the Mentorship Period

PROCESS:

  1. Complete the Provisional Mentorship Program – Interim Report.
    1. Report Mentorship Activities, hours accrued to date.
  2. In your personal record, keep a copy of the Interim Report.
    • Submit the Interim Report to the Deputy Registrar at the midpoint of the Mentorship Period.
  1. Final Reporting Process

WHEN: Within thirty (30) days of completing the Mentorship Program

PROCESS:

  1. Review Self-Assessment Survey
    1. Indicate shifts in Competency Rating (by noting the date of shift in rating)
    2. Provide comment on learning, growth, and development.
  2. Finalize Learning Plan
  3. Complete Reflection/Evaluation
  4. Provide details of Evidence of Achievement
  5. Complete “Learning Process” chart

NOTE: It may be appropriate to extend a Learning Target past the Mentorship Program and continue working towards Achievement as part of the current cycle of the Continuing Competency Program.

    • Complete the Provisional Mentorship Program – Final Report
      1. Report Mentorship Activities, Total Hours
  1. In your personal record, keep copies of:
    1. Self-Assessment Survey, with details of review and notations of updates
    2. Learning Plan
    3. Final Report
